Below are details for the communications systems within the practice and their confidentiality. If there are future software changes you will be advised via email.

Practice Management Software: Splose

As part of providing occupational therapy services, your therapist will need to collect and record personal information from you, regarding your child and your family, that is relevant to your current situation. Such as names, contact information, medical history and other relevant information. This collection of personal information will be a necessary part of therapy services and will be stored in Splose. Splose software is designed specifically for health care services. For further information regarding Splose’s data security please refer to their website, https://splose.com/privacy.  

Telehealth Provider: Zoom

Zoom is a remote conferencing service that allows you to communicate with other people through video and audio calling, chat, online learning and webinars. Zoom secures meeting with Advanced Encryption Standard (AES) 256 transport encryption using a one time key for each session. Please check out Zoom’s privacy policy here. 

Email Communications

Authentically Me Occupational Therapy will communicate through email via Splose Software System. E-mail communications can’t be guaranteed to be secure or error free as information could be intercepted, corrupted, lost, destroyed, arrive late or incomplete, or contain viruses. You understand and acknowledge the risks of providing personal information via your email provider. While we are committed to security, we cannot guarantee the security of any information that is transmitted to or by us over the Internet. The transmission and exchange of information to us is carried out at your own risk.

Purpose of collecting and holding information

Your personal information is gathered as part of your assessment and treatment, is kept securely and, in the interests of your privacy, used only by Authentically Me Occupational Therapy. Your personal information is retained in order to document what happens during sessions and enables Authentically Me to provide a relevant and informed occupational therapy service to you.  Access to information You are allowed you or your child’s to access your child’s records, where this is allowed under the law.

Disclosure of personal information

All personal information gathered by your therapist  during the provision of the occupational therapy services will remain confidential except when:

  1. It is subpoenaed by a court, or disclosure is otherwise required or authorised by law; or

  2. Failure to disclose the information would in the reasonable belief of your therapist, place you or another person at serious risk to life, health or safety; or

  3. Your prior approval has been obtained to:

    1. Provide a written report to another professional or agency. e.g., a GP or a LAC; or

    2. Discuss the material with another person, eg. a parent, employer, health provider or third-party funder; or

    3. Disclose the information in another way; or

    4. Disclose to another professional or agency (e.g. your LAC) and disclosure of your personal information to that third party is for a purpose which is directly related to the primary purpose for which your personal information was collected.

Your personal information is not disclosed to overseas recipients, unless you consent to this or such disclosure is otherwise required by law. Your personal information will not be used, sold, rented or disclosed for any other purpose.

In the event that unauthorized access, disclosure or loss of your personal information occurs, Authentically Me Occupational Therapy will activate her data breach plan and use all reasonable endeavours to minimize any risk of consequential serious harm.

Consequence of not providing personal information

If you do not wish for your personal information to be collected in a way anticipated by this Service agreement or the Privacy Policy, your therapist may not be in a position to provide the occupational therapy service to you.

Therapist Privacy and Confidentiality

Therapy sessions may not be recorded without the therapist’s consent and without written agreement about how the recording will be used. Recorded therapy sessions must not be published.

Please advise your therapist if surveillance cameras are being used to monitor your home, including identifying their locations and ensuring warnings are displayed as to their use. If a customer or their representative has concerns about the practices of your therapist following the observations of footage, please follow our complaint procedure.
